1. Who we are
hjbforensics.com is operated by HJB Forensics LLC, Wills Point, Texas ("HJB Forensics," "we," "us"). We publish fraud prevention guides and provide fraud risk assessments, an employee fraud reporting portal, Texas LLC formation assistance, and the VERA AI fraud advisor for small businesses. This policy covers information collected through this website. It does not cover the separate websites of the payment and service providers listed below, which have their own privacy policies.
2. Information we collect
We collect only what you choose to give us through the site, plus limited technical information that is generated automatically when any website is visited.
Information you provide
- Operations Fraud Review assessment (assessment page): business name, industry, size, years in operation, a description of the business, your answers to the risk questionnaire, optional notes, whether you want a review call, and your name, email address, and phone number.
- Texas LLC formation intake (LLC formation page): proposed LLC and alternate names, DBA name, registered agent name and address, management structure, member/manager names, addresses, ownership percentages, roles, email addresses and phone numbers, business purpose, industry and address, effective date, EIN and tax-classification preferences, organizer name, optional notes, your contact details and contact preferences, services requested, and how you heard about us. Tax identification numbers (SSN or EIN) are never collected through the website. If you engage us to obtain an EIN, we collect them securely offline after engagement.
- Fraud reporting portal (report page): the name and location of the business being reported, your role, a description of the suspected conduct, categories, dates, estimated amounts, whether it is ongoing or was previously reported, urgency, and requested actions. Your name, email address, and phone number are optional. If the portal is opened through a business-specific link, the link's business identifier and the page address are included with the report.
- VERA AI chat (home page): the questions you type and the recent conversation history needed to answer them. See VERA AI chat.
- Email: anything you send to us at contact@hjbforensics.com.
Purchases
Guides are sold through Gumroad, and VERA access passes and employee reporting portal subscriptions are sold through Stripe payment pages. Those providers collect your payment details directly on their own pages. We do not receive or store your full card number. We may receive information such as your name, email address, billing details, the product purchased, and the amount paid, so that we can deliver your purchase and provide support.
Information collected automatically
- Hosting and server logs. Our website host, Netlify, processes technical information such as IP address, browser type, requested pages, and timestamps to deliver the site, protect it from abuse (for example, limiting how often the VERA chat can be called from one IP address), and troubleshoot errors.
- Form processing. Our form provider, Formspree, may record technical information such as IP address and browser details with a submission, including for spam prevention.
- Web fonts. Our pages load fonts from Google Fonts, which means your browser connects to Google and Google receives your IP address and browser information.
We do not use advertising trackers or third-party analytics scripts on this website.
3. How we use information
- To review and respond to assessment requests, LLC formation requests, and fraud reports, and to prepare the work you request.
- To contact you when you have asked us to or when you have provided contact information.
- To deliver purchases, provide VERA access, and set up reporting portals for client businesses.
- To operate, secure, and improve the website and prevent abuse.
- To meet legal, tax, and recordkeeping obligations, and to protect our rights.
We do not sell your personal information, and we do not share it with third parties for their own advertising.
4. Service providers we rely on
We use the following providers to run the website. Each processes information under its own terms and privacy policy.
| Provider | What it does for us | Privacy policy |
|---|---|---|
| Netlify | Website hosting, server functions, and request logs | netlify.com/privacy |
| Formspree | Receives and delivers assessment, LLC intake, and fraud report form submissions | formspree.io/legal/privacy-policy |
| Anthropic | AI model that generates VERA chat replies | anthropic.com/legal/privacy |
| Stripe | Payment pages for VERA passes and reporting portal subscriptions | stripe.com/privacy |
| Gumroad | Storefront, checkout, and download delivery for guides | gumroad.com/privacy |
| Google Fonts | Delivers the fonts used on our pages | policies.google.com/privacy |
Form submissions are delivered to our business email, so our email provider also processes them.
5. VERA AI chat
When you use VERA, your message and up to the last ten messages of the current conversation are sent from our server to Anthropic's AI service to generate a reply. VERA's replies are general educational information about fraud and internal controls. They are not legal, accounting, or investigative advice, and AI responses can be wrong.
The website does not save your chat conversations to a database. The conversation is held in your open browser window and disappears when you leave or reload the page. Anthropic processes the text under its own commercial terms and privacy policy, and our host may keep short-lived technical logs of requests.
To track free questions and paid access, VERA stores a small counter and your access tier in your browser's local storage. See Cookies, browser storage & fonts.
6. Anonymous fraud reporting: limits of anonymity
The fraud reporting portal lets you submit a report without giving your name, email, or phone number. The portal does not accept file uploads; if you have documents, mention them in your report and we will arrange a secure way to receive them. If you choose to provide contact information, we use it to follow up on your report and do not share it with your employer without your consent, unless we are legally required to.
Please understand the limits of anonymity:
- Like any website, our host and form provider receive technical information such as your IP address when you submit. Using a personal device and network (not an employer's computer, phone, or Wi-Fi) offers more privacy.
- The details you write in a report, such as dates, locations, or events only a few people would know, may make it possible for someone to guess who wrote it.
- We may be required to disclose information in response to a valid subpoena, court order, or other legal process.
- If you do not provide contact information, we may not be able to follow up with you.
For emergencies, call 911.
7. Cookies, browser storage & fonts
This website does not set advertising or analytics cookies. The VERA chat uses your browser's local storage to remember how many free questions you have used and whether you have an active day or monthly pass. This information stays on your device, and you can clear it at any time through your browser settings. Stripe and Gumroad may use cookies on their own checkout pages, as described in their policies. Google Fonts receives standard connection information when fonts load.
8. How we share information
We share information only:
- with the service providers listed above, so they can perform services for us;
- with a client business, for reports submitted through that business's reporting portal, as needed to address the reported conduct (see section 6 for reporter identity);
- with government agencies, such as the Texas Secretary of State or the IRS, when you ask us to file on your behalf;
- when required by law or legal process, or to protect the rights, property, or safety of HJB Forensics, our clients, or others; and
- in connection with a sale, merger, or reorganization of our business, subject to this policy.
9. How long we keep information
We keep information only as long as reasonably needed for the purposes described above, including completing requested work, following up on reports, and meeting legal, tax, and recordkeeping obligations. After that, we delete it or keep it in a form that no longer identifies you. Our service providers keep information according to their own retention practices.
10. Security
The site is served over encrypted HTTPS connections, and form submissions and chat messages travel over encrypted connections to our providers. Access to submissions is limited to HJB Forensics. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Please do not send highly sensitive information, such as Social Security numbers or bank account numbers, through website forms, the chat, or regular email.
11. Children
This website is intended for business owners and adults. It is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has submitted information to us, contact us and we will delete it.
12. Your choices and requests
- You can use most of the website without providing any personal information.
- Contact fields on the fraud reporting portal are optional.
- You can clear VERA's browser storage at any time.
- You may ask to access, correct, or delete personal information you have submitted to us, or ask questions about this policy, by emailing contact@hjbforensics.com. We may need to verify your request, and we may keep certain information when the law requires or allows it.
13. Texas residents
HJB Forensics is based in Texas. Texas law, including the Texas Data Privacy and Security Act, may give Texas residents rights over their personal data, such as the right to access, correct, or delete it, depending on whether and how the law applies. Whether or not a particular law applies to us, you may send any of these requests to contact@hjbforensics.com, and we will respond within a reasonable time.
14. Changes to this policy
We may update this policy as the website or our practices change. When we do, we will post the updated version on this page and change the effective date below.
